People in Need is looking for a Logistic Assistant– for its Syria Mission based in South Idleb Office

Position: Logistic Assistant
Location: South Idleb Office
Starting date: ASAP
End of application: 2 May
Line manager: Logistic senior Officer

GENERAL UNIT DESCRIPTION
Support all Syria CP activities with all logistical and procurement needs in and out of the office and take care of PIN equipment and furniture etc….
GENERAL POSTION DESCRIPTION
Managing and checking for all warehouses operations including (capacities, documentations, stock card, stock release forms, Goods receive notes, handovers … etc.)
REPORTING LINES
REPORTING TO:
• Technical Manager: S.Idlib Logistic Senior officer
• Supervisor: S.Idlib Logistic Senior officer
REPORTING ON: according to office structure.
He answers to: Deputy Logistics managers and Idlib Logistics Senior officer
He manages: Drivers, unskilled workers,
He collaborates with: all the supervisors, Area Manager
PRINCIPAL JOB DUTIES (RESPONSIBILITIES AND TASKS):
• Controlling vehicle fleet for Aleppo office (17 vehicle at SIDL, 11 Vehicle at IDL, 16 vehicles at Aleppo) and checking spending control fuel sheets an addition to data entry for all fuel consumption sheets for both cars and electric generators.
• Preparing the monthly rent lists and coordinating with finance to organize payments for all type of leases (Vehicles, Offices, Warehouses)
• Assist and insure other departments in that all logistics operations process under PIN’s logistic policy.
• Fulfilling weekly payment orders and planning for payments.
• Translation for supporting documents coming from field.
• Archiving all logistics field documentations.
• Registering every new asset belong to PIN and preparing its handover protocol to be sent to the responsible person
• Doing all assets movements (broken assets report, maintenance etc.…) in addition to the quarterly asset inventory.
Other
• Other tasks assigned by employee’s Line Manager corresponding to actual needs of the mission, programs, and projects.
• Substitute relevant colleagues (fully or partially) during their absence when assigned by employee’s Line Manager.
• Understand and adhere to the mission’s National Staff Handbook, PIN Code of Conduct, PIN Key Policies and relevant guidelines.
PRINCIPAL COMPETINCES REQUIRED:
I. Technical competencies:
• High school degree or below.
• 1-3 years’ experience in same field.
• 1 Years of NGO experience

II. Skills competencies such as behavioural, interpersonal and personal skills

• Communication such as active listening
• Teamwork
• Responsibility
• Motivation
• Flexibility
• Patience
1.1. Education and experience:
• University degree is required
• At least 2-year experience with NGOs.
Others:
• Experience of working for a humanitarian or development organization.
• Proven high data analysis and reporting skills.
• Familiarity with the humanitarian context in Syria.
• Strong critical analysis and problem-solving skills.
• Other tasks assigned by employee’s Line Manager corresponding to actual needs of the mission, programs, and projects.
• Understand and adhere to the mission’s National Staff Handbook, PIN Code of Conduct, PIN Key Policies and relevant guidelines.
